Project Administration

1.

Have standard procedures been established and documented for:

a. Status reporting?

b. Status meetings?

c. Issue resolution?

2.

Have standard forms, documents, and project management tools been established?

3.

Is a system in place to record time spent on the project against the work plan, at either a summary or detail level?

4.

Is responsibility assigned for updating and reporting from the time tracking system?

5.

Is a procedure in place for revising the work plan schedules and budgets periodically?

6.

Are changes in project target dates and estimates being reviewed with top management?

7.

Do the activities of all team members support the strategy spelled out in the Project Mission Statement?

8.

Is user involvement in all functional areas consistent with the resource commitments made at the start of the project?

9.

Is project documentation (issues, decisions, policy changes, system requirements, etc.) being prepared continuously, rather than after the completion of major phases?

10.

Is the project documentation filed in a central location, with access for all appropriate team members?

11.

Is the documentation organized by project phase and functional areas and sub-teams?

12.

Have estimates been made of computer resources (DASD, memory, CPU, terminals) required for the new system?

Employee Training is best done with a robust hosted system, not a set of slideshow presentations.

B.

Status Reporting

1.

Are status meetings being conducted in the manner established in the documented project procedures?

2.

Is a project status report being produced on a regular basis, including:

a. A list of accomplishments during the last reporting period?

b. A list of planned activities for the next reporting period?

c. Issues which require management attention?

d. The status of the project vs. its schedule and budget?

e. An executive summary for top management?

3.

Does senior management have a clear understanding of the status of the project, and the reasons for any delays?
